**Hey there - Ting here. Let's talk privacy.**

We're building something new: an AI assistant and layer that understands how people spend and share time. Ting is still evolving, and so is our approach to privacy and innovation.

Here's what you should know:

- **Your inbox, your rules. You control what Ting can access and do on your behalf.**
- **Data powers value - never exploitation. We use your data only to make scheduling smoother, improve the product, and, with your consent, improve our wider service offering, including improvements and additions to our products.**
- **Privacy by design. Ting anonymizes and aggregates data wherever possible. What's yours stays yours.**

In short: we believe in a fair trade of time, context, and value - with full transparency.

## Who We Are

We're Ting, a UK-based company registered at:

**Unit A, 82 James Carter Road, Mildenhall, IP28 7DE, United Kingdom.**

## How Ting Plays by Google's Rules

We follow the Google API Services User Data Policy, including the Limited Use requirements. [Google API Services User Data Policy](https://developers.google.com/workspace/workspace-api-user-data-developer-policy#limited-use), That means: [Limited Use requirements](https://developers.google.com/terms/api-services-user-data-policy).

That means:

- We only access Google data (like your Calendar or Gmail) to make scheduling smoother and smarter.
- We don't sell your Google personal data.
- We don't share it with advertisers or external parties without your explicit consent.
- We don't allow human review unless you've asked for help, we're fixing a bug, reviewing quality or seeking additional insights to improve the service.

Your data stays under your control. Always.

## What Info Ting Uses and Why

| What's Collected | Why It's Used | Legal Basis |
| --- | --- | --- |
| **Google Account (name & email)** | To link to your calendar and create your Ting profile. | Contractual necessity. |
| **Email Address** | With your consent, we also share your Google account details with marketing and advertising partners for marketing purposes. | Consent. |
| **Google Calendar Data** | To help better plan and manage your time, schedule, reschedule, and cancel meetings when Ting is CC'd. | Contractual necessity. |
| **Preferences** | To personalize how Ting books and manages meetings (times, tone, platforms). | Contractual necessity. |
| **Usage Patterns & Aggregated Insights** | When Ting is CC'd on scheduling conversations, it may process limited email or message context (such as meeting purpose, tone, and timing) to improve coordination, and build anonymized insights about how meetings form and time-based intent. No personal content is stored or used beyond that purpose. | Legitimate interest. |
| **Feedback You Provide** | To improve features and fix issues. | Legitimate interest. |
| **Usage Data, Contact Data and Marketing Consent (If Opt In)** | To send occasional updates, product news, and offers. | Consent. |
| **Email & Calendar History (Gmail and Outlook) Bulk Memory Generation Feature (If Opt In)** | One-time bulk analysis to generate multiple "memories" about your scheduling patterns, preferences, frequent contacts, meeting rhythms, and time habits based on your historical email and calendar activity. This feature is strictly opt-in. | Consent. |

You can withdraw consent for marketing or data use at any time.

## Product Improvement & Data Insights

We analyze aggregated, anonymized data to make Ting better and more helpful. This may include:

- Reviewing metadata (like meeting times, duration, or cancellations) to improve coordination.
- Using LLM-assisted analysis of anonymized data to improve context understanding.
- Building a relationship and moment graph to help Ting better understand when people are most ready to meet, act, or respond.

If you explicitly opt in, Ting will do a one-time analysis of your historical Gmail or Outlook email and calendar data to generate private scheduling memories (such as preferred meeting times, recurring collaborators, pacing patterns, or energy rhythms). These memories are used solely to personalize your experience and you can delete them any time. It will not save your emails.

## Future Use: Contextual Services & Advertising

In the future, we may explore optional features that use aggregated, anonymized, or contextual data to:

- Offer smarter scheduling or discovery between users and businesses.
- Power time-based or context-based advertising within Ting or partner products.

If we ever introduce these features, we'll:

1. **Ask for your explicit, opt-in consent first.**
2. **Explain exactly what data is used and why.**
3. **Give you a simple, always-on opt-out option.**
4. **Never use personal calendar or email content for targeting without consent.**

We want you to get value with services that have a clear value exchange for you.

## Data Minimization

We keep it minimal.

Where possible, Ting uses anonymous IDs, aggregates data, and limits what's retained.

We don't sell or trade your personal information.

We may retain non-identifiable data (like meeting duration or timezone) to improve AI reliability and discover general patterns.

For users who opt into one-time bulk memory generation, Ting processes historical email and calendar data only to generate scheduling-related insights. Raw historical content is not retained beyond what is necessary to generate those memories.

## Data Retention

We keep your data only as long as necessary.

**During Beta:**

- Delete your account → we delete identifiable data.
- Meeting threads: retained up to 90 days post-event
- Usage data (e.g. meeting count, response rate): kept while active to power analytics.

**After Beta:**

- You'll retain full control to delete or export data.
- We may retain anonymized, aggregated data indefinitely to improve the product and build network-level intelligence.

## AI, Gemini & Accuracy

Ting uses Google Gemini AI and Google Vertex AI to process availability, understand intent, and coordinate meetings.

For individual and free users:

- Gemini may process aggregated or anonymized meeting and conversational data to improve its scheduling accuracy.
- Gemini never uses your personal Google data for its own model training.
- Any data passed to Gemini is anonymized, processed temporarily, and deleted once the task is complete.
- No human review occurs unless required for debugging - and even then, only with limited, anonymized data.

For enterprise clients:

- Ting's AI features are powered by Google's enterprise-grade Vertex AI platform.
- Data Privacy Guarantee: Under the enterprise terms of Vertex AI, customer data (including prompts and responses) is contractually guaranteed not to be used for training or improving Google's general models.
- Data Residency: All AI API calls are routed to a designated Vertex AI endpoint within the EU, ensuring data is processed within our controlled region.
- This setup supports enterprise compliance, security, and auditability while preserving Ting's ability to coordinate across global teams.

## International Data Transfers

We primarily store and process data in the UK or EEA.

When data moves elsewhere (for example, through a partner service), we use Standard Contractual Clauses (SCCs) to keep it protected.
